What it does

SaaS spend grows quietly — every team adds tools, nobody removes them, and quarterly audits get pushed for “later.” This recipe runs the audit: flags dormant tools, finds overlapping categories that can consolidate, and writes a rightsizing plan with savings totals so finance and ops have a real conversation to have, not a guess.

How it works

  1. Pull catalog. Every SaaS tool with annual spend, monthly active users, and utilization rate gets pulled.
  2. Audit. Tools under 30% utilization are flagged dormant. Tools cluster by category to find overlap; consolidation savings per group are scored. Total addressable savings is computed.
  3. Report. Audit summary, per-tool roster, and a 6-step rightsizing plan with owners get written. Ops + finance leads get DM’d.

Setup

  • Connect a spreadsheet destination (Google Sheets or Excel) for the catalog.
  • Connect a docs destination (Notion, Google Docs, or Confluence).
  • Connect a messaging channel (Slack or Teams).

Variations

  • Run a per-team audit so each leader sees their own subset.
  • Layer in renewal-date sequencing to build a 12-month renewal playbook.
  • Add SSO / security tier filtering for IT-priority rightsizing.
